About the Role:
Trinity IT is looking for a highly organized and proactive Administrative Assistant Specialist to provide advanced administrative and office support to executives, managers, and team members on contract with the US Navy. This role is key to ensuring the smooth and efficient operation of day-to-day business activities and may involve handling sensitive information, managing schedules, preparing reports, and serving as a central point of contact for internal and external communications.
This position is contingent on contract award.
This position requires a Department of Defense (DoD) Secret security clearance, which requires US citizenship.
Key Responsibilities:

Manage executive and team calendars, schedule meetings, and coordinate travel arrangements.

Prepare and edit correspondence, reports, presentations, and other documents.

Maintain and organize files, records, and office systems (digital and physical).

Serve as a liaison between departments and external stakeholders.

Track project deadlines, coordinate logistics for meetings and events, and prepare meeting agendas and minutes.

Support procurement and expense reporting processes.

Maintain confidentiality and handle sensitive information with discretion.

Assist in the onboarding of new employees and coordination of office operations.
Required Qualifications:

Active SECRET clearance

High school diploma or GED required; Associate’s or Bachelor’s degree preferred.

3+ years of administrative or executive support experience.

Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office productivity tools.

Excellent verbal and written communication skills.

Strong organizational and multitasking abilities.

Ability to work independently and manage multiple priorities with accuracy and efficiency.
Preferred Qualifications:

Experience in a government, legal, or corporate environment.

Familiarity with administrative procedures and record-keeping best practices.

Knowledge of travel and expense reporting systems.

Project coordination or event planning experience is a plus.
